Who this is forOwners, store managers and inventory teams

Guide overview

Follow the workflow in a controlled order.

Important boundary. POS & Inventory owns the authoritative sales and stock records. Command Centre may receive summaries but does not change the operational ledger.

Guided steps

From preparation to a checked outcome.

01

Confirm locations and operating responsibility

Stock and sales must belong to the correct store, warehouse or branch.

What to do
  • List every active selling and storage location.
  • Choose the primary location and confirm who manages each location.
  • Avoid creating duplicate locations for the same physical site.

Expected outcomeEvery sale and stock movement has a clear location context.

02

Prepare the product catalogue

Consistent product data supports selling, purchasing and future Storefront use.

What to do
  • Use clear names, categories, prices, units and identifiers.
  • Remove duplicate products and decide how variants are represented.
  • Import only after reviewing the source spreadsheet or connected catalogue.

Expected outcomeThe catalogue is ready to become the shared product reference.

03

Record opening stock carefully

Inventory accuracy begins with a trustworthy starting quantity.

What to do
  • Count stock by location before entry.
  • Record damaged, expired or unavailable goods separately where supported.
  • Ask another responsible person to review unusually large quantities.

Expected outcomeThe inventory ledger begins from a checked physical count.

04

Configure suppliers and purchasing

Purchasing records explain how stock enters the business.

What to do
  • Add active suppliers with useful contact details.
  • Define who can raise and approve purchase orders.
  • Receive stock against the correct order and location.

Expected outcomeReplenishment has a visible request, approval and receiving trail.

05

Prepare terminals, tenders and receipts

Each checkout point needs clear payment and receipt behaviour.

What to do
  • Confirm the terminal and location assignment.
  • Enable only approved payment methods.
  • Test thermal print, email, WhatsApp or QR receipt options that are actually configured.

Expected outcomeThe checkout can complete a controlled sale and provide proof to the customer.

06

Test before daily use

A small controlled test exposes configuration gaps safely.

What to do
  • Run a low value test sale.
  • Confirm stock reduces once and the payment state is correct.
  • Check the receipt, owner, location and audit details.
  • Reverse the test only through the approved return or adjustment process.

Expected outcomeThe team has evidence that the core sales and inventory flow works.

Completion checklist

Confirm before moving on.

Use this list for a final review with the person responsible for the workflow.

  • Locations are unique and correctly assigned
  • Catalogue records are clean and consistent
  • Opening stock has been physically checked
  • Purchasing roles are understood
  • Payment methods reflect the merchant setup
  • A test sale and receipt have been reviewed
